What an exhibition stand actually costs in India
Per-square-metre rates, what drives them up, and the line items that quietly double a quote.
Almost every first conversation starts here, and almost every published answer dodges it. So: in India, a custom-built exhibition stand typically runs ₹6,000–₹12,000 per square metre, turnkey. A 50 sqm stand therefore lands somewhere between ₹3 and ₹6 lakh.
That is a wide band, and where you fall inside it is mostly decided by four things.
1. Custom build versus a system stand
A Maxima or Octonorm system stand costs roughly 40–50% less than bespoke carpentry, because the structure is rented and reused rather than built once and scrapped. If your stand design does not depend on an unusual silhouette, this is the single biggest saving available.
2. Double-decker and height
Anything above 4 metres, and anything with a second storey, brings structural certification, heavier materials and more build-up labour. A double-decker can add 60% to the per-square-metre rate before a single graphic is printed.
3. What goes on the stand
- Live machinery needs load-bearing floors and three-phase power
- Backlit graphics and tensioned fabric cost more than printed panels
- AV, touchscreens and lighting rigs are usually quoted separately
- Storerooms and meeting rooms eat sellable floor but are rarely optional
4. Where the show is
A Mumbai build is the cheapest case because our facility is here. Delhi, Bengaluru, Chennai and Hyderabad add freight and travelling labour. Overseas adds sea freight and customs — four to five weeks for Europe, around three for the Gulf.
The line items that surprise people
A quote that looks cheap usually looks that way because something below is missing. Ask explicitly:
- Venue charges — electricity, water, rigging, compressed air
- Organiser fees for stand plan approval
- Freight both ways, not just delivery
- Dismantle and waste removal
- On-site supervision through the show days
If one quote is 30% below the others, it is not a better price. Something has been left out, and you will pay for it during build-up when you have no leverage.
How to brief for a sensible number
Give the show name, the stand size and hall position, your move-in date and an honest budget range. A contractor who knows the ceiling designs to it. One who does not will design something beautiful that you then have to cut, which wastes a fortnight.
